The Office Manager is a central figure in the organization, ensuring smooth operations, supporting leadership, employees, vendors, and external partners, and serving as the liaison with our accounting partner. This role also ensures compliance with HR, internal SOPs, and regulatory requirements.

 

Position Overview

The Office Manager oversees daily office operations and supports leadership while coordinating with external partners for finance, payroll, compliance, and benefits administration. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

 

Key Responsibilities

Office Management & Administrative Support

  • Oversee daily office operations, including supplies, IT coordination, visitor management, and mail handling.
  • Schedule and prepare meetings, including catering, AV, and printing needs.
  • Support executive calendars, internal communications, and provide general administrative support to leadership.
  • Support leadership’s business development efforts with tasks such as client requests, travel booking, venue selection, and client gifting.
  • Identify opportunities to improve office operations, culture, and workflow efficiency.

Payroll & HR Support

  • Coordinate with the accounting partner to ensure accurate payroll for all employees, including part-time and full-time staff.
  • Maintain comprehensive employee records, contracts, HR documentation, and I-9 files.
  • Lead onboarding and offboarding processes, including system access, equipment distribution/retrieval, COBRA arrangements, and final paycheck compliance.
  • Administer benefits through Ease and QuickBooks (medical, dental, vision, life, 401(k), PTO, holidays).
  • Track PTO requests, balances, and reporting.
  • Collaborate with the Executive Manager to ensure internal SOPs are current and reflect processes for insurance, payroll, HR, and operational compliance.

Financial Coordination & Accounting Liaison

  • Serve as the in-office liaison for financial documentation and compliance :
  • Check the office mailbox daily for bills, invoices, and statements.
  • Collect, organize, and submit invoices and supporting documentation to the accounting partner for coding, approval, and payment processing.
  • Ensure all invoices are complete, accurate, and properly documented; follow up with vendors for missing information.
  • Act as the in-office liaison for 401(k) plan administration, DBA registration, and other compliance-related needs with external partners.
  • Track expenses and flag discrepancies or missing information for leadership and the accounting partner.
  • Support the Director of Operations and Executive team with approvals, expense categorization, and preparation of financial reports.
  • Assist in preparing budgets, forecasts, and financial summaries in collaboration with external accounting partners.
  • Monitor outstanding payables and receivables, providing leadership with updates on cash flow and any follow-ups required.

Standard Operating Procedures (SOPs) & Compliance

  • Collaborate with the Executive Manager to ensure internal SOPs are current and accurately reflect processes for insurance, payroll, HR, and operational compliance.
  • Gather, organize, and provide necessary documentation to the Executive Manager for timely SOP updates.
  • Ensure any SOP changes are communicated to relevant staff and properly filed.
  • Support audits and compliance checks by maintaining accurate SOP documentation.

Confidentiality & Professional Conduct

  • Maintain strict confidentiality of all proprietary and sensitive company information, including: client lists, financial reports, employee records, marketing strategies, and other sensitive organizational data ("Confidential Information").
  • Confidentiality Obligation: Do not disclose Confidential Information to third parties without explicit written consent; obligation continues beyond employment.
  • Use of Confidential Information: Use solely for job responsibilities; no personal gain or unauthorized purposes.
  • Return of Materials: Return all confidential materials upon termination, including copies or notes.
  • Exceptions: Does not apply to publicly available information, independently developed information, or legally required disclosures; notify the organization prior to disclosure.
  • Breach of Agreement: Unauthorized disclosure may result in disciplinary action, up to and including termination, and potential legal action.

 

Minimum Qualifications & Expectations

  • College degree preferred.
  • 3–5 years of office management, operations, or administrative experience.
  • Strong knowledge of QuickBooks Online, 401(k), payroll, and financial oversight.
  • Familiarity with Ease, Bill.com, HR compliance, and accounting liaison functions.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Ability to handle confidential information and maintain discretion.
  • Strong written and verbal communication skills, editing, and documentation experience.
  • Experience in events, creative industries, or fast-paced environments preferred.
  • Proactive approach to process improvement, system efficiency, and operational excellence.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

 

Schedule Requirements

  • Monday–Friday, 9:00 AM – 5:00 PM (in-office expected; remote work only for pre-approved days or special circumstances).

 

Compensation & Benefits

  • Full-time salaried position: $65,000++ annually .
  • 75% health and dental coverage after 90 days of employment.
  • Vision and life insurance coverage available.
  • 14 business days PTO annually; accrual begins on first day, usage after 90 days.
  • 401(k) eligibility with contribution and discretionary profit sharing.
  • Reimbursement for eligible corporate expenses.
